Cycle counts

Conteos cíclicos

A cycle count compares what the system says with what is physically in the locations, and corrects the stock with the differences once the count is approved and completed.

Un conteo cíclico compara lo que dice el sistema con lo que hay físicamente en las ubicaciones, y corrige el stock con las diferencias una vez que el conteo está aprobado y completado.

Prepare the count

Preparar el conteo

Press New Cycle Count.
Choose the Warehouse and type a Count Number of your own (up to 50 characters). The system does not number counts and the number cannot repeat.
Fill in Description, Count Type (Full, Partial or Spot), Scheduled Date and Scope Type. Type and scope are informative: they do not choose what is counted.
Press Save. The count is created as a draft. Click its number to open it.
Add the lines to count. Press Add Line, choose the location and the product, and type the System Quantity: what the system says is in that location. Look it up in Inventory. Add the Unit Cost if you want the difference valued.

Tocá Nuevo conteo cíclico.
Elegí el Depósito y escribí un Número de conteo propio (hasta 50 caracteres). El sistema no numera los conteos y el número no se puede repetir.
Completá Descripción, Tipo de conteo (Completo, Parcial o Puntual), Fecha programada y Tipo de alcance. El tipo y el alcance son informativos: no eligen qué se cuenta.
Tocá Guardar. El conteo se crea en borrador. Hacé clic en su número para abrirlo.
Agregá las líneas a contar. Tocá Agregar línea, elegí la ubicación y el producto, y escribí la Cantidad del sistema: lo que el sistema dice que hay en esa ubicación. Buscala en Inventario. Agregá el Costo unitario si querés que la diferencia salga valorizada.

The count does not load its own lines and does not read the stock. Every line is added by hand, and the difference is calculated against the System Quantity you typed. A wrong figure there produces a wrong correction.El conteo no carga sus líneas solo ni lee el stock. Cada línea se agrega a mano, y la diferencia se calcula contra la Cantidad del sistema que escribiste. Una cifra mal cargada ahí produce una corrección equivocada.

Count and send for review

Contar y enviar a revisión

Press Start Count. The count goes to in progress.
Type the counted quantity in the box of each line and press the tick. The line then shows the system quantity, the counted quantity and the difference.
To correct a line, use Edit Count in its menu.
Press Submit for Review when all lines are counted. The system does not stop you if some are missing: check it yourself with the Pending chip.

Tocá Iniciar conteo. El conteo pasa a en curso.
Escribí la cantidad contada en el casillero de cada línea y tocá el tilde. La línea pasa a mostrar la cantidad del sistema, la contada y la diferencia.
Para corregir una línea, usá Editar conteo en su menú.
Tocá Enviar para revisión cuando todas las líneas estén contadas. El sistema no te frena si falta alguna: revisalo vos con la etiqueta Pendiente.

Approve and post the differences

Aprobar y llevar las diferencias al stock

Review the lines with the Variance chip, which leaves only the lines with a difference.
Press Approve. Approving does not change the stock yet.
Press Complete & Post Variances and confirm with Complete & Post. This is what corrects the stock, and it cannot be undone.

Revisá las líneas con la etiqueta Variación, que deja solo las líneas con diferencia.
Tocá Aprobar. Aprobar todavía no cambia el stock.
Tocá Completar y contabilizar variaciones y confirmá con Complete & Post. Esto es lo que corrige el stock, y no se puede deshacer.

For each line with a difference, the stock on hand of that location, product and lot is set to the counted quantity, and a Cycle Count Adjust movement is written with the reference of the count.
Lines without a difference are left as they are.
The count does not block the locations. Because completing sets the counted quantity, any movement made in those locations between counting and completing is overwritten. Count and complete without movements in between.
Flag Recount only marks a line with the Recount badge so that someone looks at it again. It does not stop the count, and there is no separate box for a second quantity: correct the line with Edit Count while the count is in progress.

Por cada línea con diferencia, la existencia de esa ubicación, producto y lote queda en la cantidad contada, y se escribe un movimiento Ajuste de recuento cíclico con la referencia del conteo.
Las líneas sin diferencia quedan como están.
El conteo no bloquea las ubicaciones. Como completar fija la cantidad contada, cualquier movimiento hecho en esas ubicaciones entre el conteo y la finalización queda pisado. Contá y completá sin movimientos en el medio.
Marcar para reconteo solo marca una línea con la etiqueta Reconteo para que alguien la vuelva a mirar. No frena el conteo, y no hay un casillero aparte para una segunda cantidad: corregí la línea con Editar conteo mientras el conteo está en curso.

Large differences stop the completion. If on any line the difference is more than 10 percent of the system quantity, completing is refused and nothing is posted; the count stays approved. The limit is the policy CYCLE_COUNT_VARIANCE_THRESHOLD: an administrator can raise it in Policies and then you complete again. A line whose system quantity is zero always counts as a difference of 100 percent.Las diferencias grandes frenan la finalización. Si en alguna línea la diferencia supera el 10 por ciento de la cantidad del sistema, la finalización se rechaza y no se contabiliza nada; el conteo queda aprobado. El límite es la política CYCLE_COUNT_VARIANCE_THRESHOLD: un administrador puede subirlo en Políticas y después completás de nuevo. Una línea con cantidad del sistema en cero siempre cuenta como una diferencia del 100 por ciento.

Cancel Count is offered while the count is a draft or in progress.
Overdue marks a count whose scheduled date passed and that is not approved, completed or cancelled.
In the list, the Progress and Variances columns are not filled in today, and a finished count shows Clean even when it posted differences. Open the count to see its real figures.
On the count page, locations and products appear as shortened internal identifiers, and amounts are always shown in dollars.

Cancelar conteo se ofrece mientras el conteo está en borrador o en curso.
Vencido marca un conteo cuya fecha programada pasó y que no está aprobado, completado ni cancelado.
En la lista, las columnas Progreso y Variaciones hoy no se completan, y un conteo terminado muestra Sin diferencias aunque haya contabilizado diferencias. Abrí el conteo para ver sus cifras reales.
En la página del conteo, las ubicaciones y los productos figuran como identificadores internos abreviados, y los importes se muestran siempre en dólares.

Common issues

Problemas habituales

"Failed to create cycle count": Most often the count number already exists. Type a different one.
"Failed to complete" on a count in progress: Mark Complete in the list does not work for a count in progress. Submit it for review, approve it and complete it from its page.
"Variance of …% exceeds threshold of …% for SKU at location. Approval required.": A line has a difference above the limit. Nothing was posted. See the red note above.
"Enter a valid quantity or more": The counted quantity is empty or negative. Type zero or more.
"Failed to record count": The count is not in progress. Counts are recorded only after Start Count and before Submit for Review.
"Failed to add count line": Lines can be added only to a draft or in-progress count. Lot ID expects the internal identifier of the lot; leave it empty if you do not have it.
The stock is wrong after completing: Either the system quantity typed on the line was wrong, or the location had movements after it was counted. Correct it with a stock adjustment.

«No se pudo crear el conteo cíclico»: Lo más habitual es que el número de conteo ya exista. Escribí otro.
«No se pudo completar» en un conteo en curso: Marcar como completado en la lista no funciona para un conteo en curso. Envialo a revisión, aprobalo y completalo desde su página.
«Variance of …% exceeds threshold of …% for SKU at location. Approval required.»: Una línea tiene una diferencia por encima del límite. No se contabilizó nada. Mirá la nota roja de más arriba.
«Ingresá una cantidad válida, 0 o más»: La cantidad contada está vacía o es negativa. Escribí cero o más.
«No se pudo registrar el conteo»: El conteo no está en curso. Los conteos se registran solo después de Iniciar conteo y antes de Enviar para revisión.
«No se pudo agregar la línea de conteo»: Las líneas se agregan solo a un conteo en borrador o en curso. ID de lote espera el identificador interno del lote; dejalo vacío si no lo tenés.
El stock quedó mal después de completar: O la cantidad del sistema cargada en la línea estaba mal, o la ubicación tuvo movimientos después de contarla. Corregilo con un ajuste de stock.
