Lotes, números de serie y vencimientos

A lot groups units made or received together, with their expiry date. A serial number identifies one single unit. Both let you know which goods you have and where they went.

Un lote agrupa unidades fabricadas o recibidas juntas, con su fecha de vencimiento. Un número de serie identifica una sola unidad. Los dos te permiten saber qué mercadería tenés y adónde fue.

Create a lot

Crear un lote

A lot has to exist before you can receive goods into it: the receiving forms only let you choose lots that were already created.

Un lote tiene que existir antes de poder recibir mercadería en él: los formularios de recepción solo dejan elegir lotes ya creados.

Open Lots & Batches and press New Lot.
Search the product and type the Lot Number. It cannot repeat for the same product.
Set the Manufacture Date and the Expiry Date. The expiry date has to be today or later, and it cannot be changed afterwards.
Press Create. The lot is created as available.
Open the lot and press Edit to add the Supplier Lot Number, the Certificate Number and the Notes. Fill them in here: they are not kept from the creation form.

Abrí Lotes y Partidas y tocá Nuevo lote.
Buscá el producto y escribí el Número de lote. No se puede repetir para el mismo producto.
Cargá la Fecha de fabricación y la Fecha de vencimiento. El vencimiento tiene que ser hoy o posterior, y no se puede cambiar después.
Tocá Crear. El lote se crea como disponible.
Abrí el lote y tocá Edit para agregar el Número de lote del proveedor, el Número de certificado y las Notas. Cargalos acá: desde el formulario de creación no quedan guardados.

Follow expiry dates

Each lot card shows how long it has left: Expires in … days, Expires tomorrow, Expires today or Expired … days ago. It turns to warning at 30 days and to urgent at 7.
The Expiring Soon card counts the available lots that expire within 30 days.
Every night, a few minutes after midnight, the system marks as Expired the available lots whose date passed, and sets their Available quantity to zero. The units stay on hand until you take them out with an adjustment with the reason Expired.
When a pick line is created without a lot, the system chooses the lot that expires first among those available in that location.

Cada tarjeta de lote muestra cuánto le queda: Vence en … días, Vence mañana, Vence hoy o Vencido hace … días. Pasa a advertencia a los 30 días y a urgente a los 7.
La tarjeta Por vencer cuenta los lotes disponibles que vencen dentro de los próximos 30 días.
Todas las noches, unos minutos después de la medianoche, el sistema marca como Vencido los lotes disponibles cuya fecha pasó, y deja su cantidad Disponible en cero. Las unidades siguen en existencia hasta que las sacás con un ajuste con el motivo Vencido.
Cuando se crea una línea de preparación sin lote, el sistema elige el lote que vence primero entre los disponibles en esa ubicación.

Put a lot in quarantine and release it

Poner un lote en cuarentena y liberarlo

Find the lot and open the menu of its card.
Choose In quarantine (on the lot page the option is called Quarantine). It is offered for available lots.
To bring it back, choose Release on a lot in quarantine.

Buscá el lote y abrí el menú de su tarjeta.
Elegí En cuarentena (en la página del lote la opción se llama Cuarentena). Se ofrece para lotes disponibles.
Para recuperarlo, elegí Liberar en un lote en cuarentena.

Quarantine does not lock the units. A lot in quarantine is no longer chosen automatically for picking and the nightly expiry check skips it, but its quantities do not change and it can still be transferred, adjusted or picked by choosing it by hand. Separate the goods physically as well.La cuarentena no bloquea las unidades. Un lote en cuarentena deja de elegirse automáticamente para la preparación y el control nocturno de vencimientos lo saltea, pero sus cantidades no cambian y se puede seguir transfiriendo, ajustando o preparando si se lo elige a mano. Separá también la mercadería físicamente.

Lot status	Meaning
Available	Usable. The only status chosen automatically for picking.
Quarantine	Held for review. Set and removed by hand.
Expired	Its expiry date passed. Set by the system at night.

Disponible	Se puede usar. El único estado que se elige automáticamente para la preparación.
En cuarentena	Retenido para revisión. Se pone y se saca a mano.
Vencido	Pasó su fecha de vencimiento. Lo pone el sistema de noche.

In the list, the status on each card is in English in both languages (Available, Quarantine, Expired). The filter also offers Consumed; no lot takes that status today. The lot page shows the lot, its dates and, in the Inventory tab, the locations that hold it. Print label in the card menu prints its label.

En la lista, el estado de cada tarjeta está en inglés en los dos idiomas (Available, Quarantine, Expired). El filtro también ofrece Consumido; hoy ningún lote toma ese estado. La página del lote muestra el lote, sus fechas y, en la pestaña Inventory, las ubicaciones que lo tienen. Imprimir etiqueta en el menú de la tarjeta imprime su etiqueta.

Serial numbers

Números de serie

Serial Numbers lists every unit tracked one by one, with its product, status, reception and shipping dates and warranty. Serials are created automatically when a goods receipt of a product with serial numbers is confirmed. You can also add one by hand with New Serial: product, Serial Number (it cannot repeat for the same product), and optionally lot, warehouse, location, reception date, Warranty Start, Warranty End and Supplier Serial.

Números de Serie lista cada unidad que se sigue una por una, con su producto, estado, fechas de recepción y de despacho, y garantía. Las series se crean automáticamente cuando se confirma una recepción de un producto con números de serie. También podés agregar una a mano con Nueva Serie: producto, Número de serie (no se puede repetir para el mismo producto), y opcionalmente lote, depósito, ubicación, fecha de recepción, Inicio de garantía, Fin de garantía y Número de serie del proveedor.

⚠️

The status of a serial is a record: it does not move stock. Marking a serial as shipped, damaged or disposed does not change the quantities of the product, and adding a serial by hand does not add a unit. Make the matching stock movement as well, so that both agree.El estado de una serie es un registro: no mueve stock. Marcar una serie como enviada, dañada o dada de baja no cambia las cantidades del producto, y agregar una serie a mano no suma una unidad. Hacé también el movimiento de stock correspondiente, para que las dos cosas coincidan.

Mark Damaged and Dispose ask for confirmation; disposing cannot be undone. The menu also has Edit Notes, Copy Serial Number and Print label. In the table, the lot and the location appear as shortened internal identifiers.

Marcar como dañado y Dar de baja piden confirmación; dar de baja no se puede deshacer. El menú también tiene Editar notas, Copiar número de serie e Imprimir etiqueta. En la tabla, el lote y la ubicación figuran como identificadores internos abreviados.

Common issues

Problemas habituales

"Failed to create lot": The lot number already exists for that product, or the expiry date is in the past.
The lot does not appear when receiving: It has to exist for that exact product. Check the product of the lot, or create it.
The supplier lot number I typed when creating is missing: Open the lot, press Edit and type it there.
An expired lot still shows units on hand: Expiring sets the available quantity to zero and keeps the units on hand. Take them out with an adjustment.
A lot expired today still shows as available: The check runs at night. It will be marked after midnight.
"Failed to create serial number": That serial number already exists for the product.
"Failed to ship serial" and similar: The action does not apply to the current status of the serial. Refresh the list and check the table above.

«No se pudo crear el lote»: El número de lote ya existe para ese producto, o la fecha de vencimiento es pasada.
El lote no aparece al recibir: Tiene que existir para ese producto exacto. Revisá el producto del lote, o crealo.
Falta el número de lote del proveedor que escribí al crear: Abrí el lote, tocá Edit y escribilo ahí.
Un lote vencido sigue mostrando unidades en existencia: El vencimiento deja el disponible en cero y conserva las unidades en existencia. Sacalas con un ajuste.
Un lote que venció hoy sigue figurando disponible: El control corre de noche. Se va a marcar después de la medianoche.
«No se pudo crear el número de serie»: Ese número de serie ya existe para el producto.
«No se pudo despachar el número de serie» y similares: La acción no corresponde al estado actual de la serie. Actualizá la lista y revisá la tabla de arriba.
