Importing employees in bulk

Importar empleados en forma masiva

When you start with the system, or after taking on a group of people, you can create many employee files at once from a file instead of typing them one by one.

👤 Who: HR Manager📍 Where: HR → Settings → Import
👤 Quién: HR Manager (responsable de RR. HH.)📍 Dónde: RRHH → Ajustes → Importar

The import reads a text file with values separated by commas (CSV), saved in UTF-8. The first line carries the names of the columns, exactly as in the table; each following line is one employee.

⚠️
Save the spreadsheet as CSV before uploading. The file picker also lets you choose Excel files, but the import only understands CSV text: an Excel workbook ends up as a failed job.

Follow the job

Seguir el trabajo

Import Job shows the status of the import and its figures: Total Rows, Success, Errors, and when it started and finished. The import runs in the background; if the figures do not move, go back to Data Import and open the job again from Recent Import Jobs with the eye icon.

ℹ️
Imported employees are drafts. Each one has to be activated afterwards, and the ones without a hire date need it loaded first. See Hiring an employee.

Common issues

Problemas habituales

"Failed to start import"
You chose an entity type other than EMPLOYEE, the file has more than one thousand rows, or your role cannot create employees.
The job ends as Failed with no rows
The file could not be read as CSV, or the first line lacks one of the four required columns. Check the header and that the file is CSV and not Excel.
"Required field 'first_name' is missing or empty"
That row has a required value empty. The message names the column.
"Invalid employment type: …"
The value is not one of PERMANENT, CONTRACTOR, INTERN or TEMP.
"Invalid date format for hire_date: … (expected yyyy-MM-dd)"
Write the date as year, month and day with hyphens. In a spreadsheet, format the column as text before saving.
"Employee with code '…' already exists"
That code is already used by another employee, perhaps by a row imported in a previous attempt.
«Failed to start import»
«Required field 'first_name' is missing or empty»
Esa fila tiene vacío un valor obligatorio. El mensaje nombra la columna.
«Invalid employment type: …»
«Invalid date format for hire_date: … (expected yyyy-MM-dd)»
«Employee with code '…' already exists»
