Reserving stock for an order

Reservar stock para un pedido

Allocating sets apart, in a warehouse, the units an order needs, so that no other order takes them. Before reserving, the system shows you what it found and what is missing.

👤 Who: Order Manager, or a role allowed to work on orders📍 Where: Orders → Order Management → Orders → an order → Allocate

Allocate the stock

Asignar el stock

You can allocate an order in Pending, Confirmed or Processing that still has units without a reservation.

  1. Press Allocate on the order. The Allocate Order window opens.
  2. Choose how to look for the stock in Allocation Strategy (see the table below).
  3. Leave Warehouse Override (optional) empty. It expects the internal identifier of a warehouse, not its name. Empty, the system chooses the warehouse by itself.
  4. Tick Auto-create backorders for unfulfilled quantities if you want a new order for whatever is missing.
  5. Press Preview. Nothing is reserved yet. The system shows the plan line by line.
  6. Read the plan. At the top: Fully Allocated, Partially Allocated, Not Available and Total Shortfall. In the table, for each line: Ordered, To Allocate, Warehouse and Available.
  7. Press Confirm Allocation if you agree, or Back to change the strategy.
  8. Read the result and press Done. The message "Order allocated successfully" appears.
  1. Tocá Asignar stock en el pedido. Se abre la ventana Asignar orden.
  8. Leé el resultado y tocá Listo. Aparece el mensaje «Pedido asignado correctamente».
StrategyHow it looks for the stock
Single WarehouseEvery line from one warehouse: the default warehouse of your company, or the first active one if none is marked as default.
Split by WarehouseFor each line, the warehouse with the most available stock, preferring one that covers the whole line.
Nearest WarehouseFor each line, the warehouse closest to the delivery address that covers the whole line.
ℹ️
One line, one warehouse. A line is never split between two warehouses. If no warehouse covers it entirely, the system reserves what the best warehouse has and the rest counts as a shortage.

What happens after allocating

Qué pasa después de asignar

When there is not enough stock

Cuando no alcanza el stock

SituationWhat the system does
Something is missing and you ticked the backorder boxIt reserves what there is and creates a new order for the missing units, with the same customer, currency and prices. The result shows Backorder created: and its number. The new order is of type Backorder, in Pending, and carries a note with the number of the original order.
Something is missing, you did not tick the box, and partial allocation is allowedIt reserves what there is. The order stays in Processing and you can allocate the rest when stock arrives.
Something is missing, you did not tick the box, and partial allocation is not allowedIt reserves nothing and refuses the allocation.
No line has any stockThe Confirm Allocation button stays greyed out.

Whether partial allocation is allowed is decided in Tools → Settings, with Allow Partial Allocation. It comes turned off.

Viene desactivada.

⚠️
A backorder does not reduce the original order. The original keeps its full quantities and shows the missing units as pending. Decide which of the two orders will deliver them and cancel the other, so that the customer does not receive them twice.

Release a reservation

Liberar una reserva

  1. Open the order. It has to be Allocated or Processing, with reserved units that have not gone out.
  2. Press More → Deallocate. The system asks "Deallocate this order? All line allocations will be reset."
  3. Confirm with Deallocate. A message says how many lines were released.
  3. Confirmá con Desasignar. Un mensaje dice cuántas líneas se liberaron.

The reservations go back to Inventory. An order that was Allocated returns to Confirmed. Cancelling an order also releases its reservations.
