Testing, publishing and versions
Probar, publicar y versiones
Before a flow governs real documents you correct its problems, try it with an example and publish it. Every publication is a version, and requests always finish on the version they started with.
Correct the problems
Corregir los problemas
The Problems tab lists what is wrong with the flow, in two groups: Block publishing (errors) and Warnings. The Studio checks while you work and the server checks again on each save.
- Open Problems. The number on the tab is red when there are errors.
- Read each problem. It says what is wrong, what would happen to a request and how to solve it.
- Press the quick fix when the problem offers one, for example Add an approved end or Use the last path as "otherwise". Otherwise press Go to the step to open the step with the field to correct.
- Repeat until the tab says "Nothing to fix."
Test with an example
Probar con un ejemplo
The test walks the flow with the data of an imaginary document and shows the route it would take. It creates nothing: no request, no notice, no change to any document.
- Choose the mode Test in the top bar, or the Test tab.
- Pick one of the Saved examples , or fill in the form with the data of the document: total, vendor, currency and so on.
- Press Run. The Walk lists the steps the request would go through, who each one would be assigned to and how it ends. In the Steps view the route taken is marked in green.
- Change the answer of a step in Assume it: Approves, Rejects or Asks for changes. The walk is recalculated at once.
- Try the edges : an amount just below and just above each tier, and a rejection at each step.
The bookmark icon saves the current data as an example with a name; examples are shared by everyone who works on that flow, and a flow keeps at most fifty. The checklist marks Tested once a test has run in your session; testing is not required to publish.
Publish
Publicar
- Press Publish in the top bar. If there are errors the Studio takes you to Problems instead.
- Read the window. It says which version you are publishing, which one it replaces, how many requests are in flight and what changed against the live version.
- Write what changed and why in What changed and why. It is mandatory and it is the line the version history shows.
- Press Publish. The message "Published. New requests will run this version." appears and the version opens read-only.
- Requests in flight are not touched. They finish on the version they started with; only new requests use the new version.
- Publishing the first version activates the flow for its trigger, unless another flow is already active for it. In that case the flow stays as a draft and you activate it from Flow definitions, which replaces the other one.
- Publishing is not the same as switching on. A published and active flow governs documents only when its trigger is routed to the engine. See Ready-made flows and switching them on.
Versions

Common issues
Problemas habituales
- "1 error stops publishing · View"
- The flow has errors. Press View, correct them in Problems and publish again.
- "A request could be approved without anyone approving it"
- A path reaches the approved end without going through an approval. Add an approval before it, or switch on automatic approval if that is what you want.
- "This flow can approve requests without anyone deciding, so a workflow administrator has to publish it."
- Automatic approval is on, but publishing such a flow needs workflow administration rights. Ask an administrator who has them.
- "Published, but the flow is not active yet: another flow is live for this trigger, or activating it needs a workflow administrator. Activate it from the flow list."
- The version was published but the flow is still a draft. Open Flow definitions and press Activate on it.
- "Not published: the last save did not land, so the server does not hold this graph yet."
- The draft could not be saved. Resolve the save problem (the top bar offers Retry) and publish again.
- "Not published: someone else edited this draft. Resolve the conflict first."
- Another person saved the draft. Choose in the conflict window which version to keep and publish again.
- "The server found problems that stop publishing. They are listed in Problems."
- The server found errors the Studio had not shown yet. Open Problems.
- "Invalid JSON — nothing was run."
- In the test, the data written by hand is not valid. Use the form or one of the saved examples.
- "A flow keeps at most 50 examples. Delete one first."
- The flow reached the limit of saved examples. Delete one from its menu.
- «1 error impide publicar · Ver»
