Reports
Informes
The financial statements are calculated on the spot from the posted journal entries: trial balance, balance sheet, income statement and cash flow, each with a path down to the account and to the entry.
What every statement has in common
Qué tienen en común todos los estados
- Only posted entries count. Drafts are left out. A reversed entry and its reversing entry are both included, and cancel each other out.
- The date that counts is the entry date, not the day it was typed or posted.
- Amounts are in the base currency.
- Accounts are grouped by category (assets, liabilities, equity, revenue, expenses) and listed by account number. The groups of the chart of accounts are not used for subtotals.
- Balances are shown on the normal side of each account; an amount against its normal side appears as a negative.
- Dates always come from a fiscal period. You choose a period, not a free date.
Use the screen
Usar la pantalla
- Choose the statement: Trial balance, Balance sheet, Income statement or Cash flow. The screen opens on the balance sheet.
- Choose the period. For the trial balance and the balance sheet the field is called As of the end of: you get the balances at the last day of that period. For the income statement and the cash flow it is called Period.
- Choose the Range (income statement and cash flow): This period, or Year to date for everything from the start of the fiscal year to the end of the period.
- Choose Compare with (balance sheet and income statement): Previous period, Same period last year or No comparison. With a comparison you get a second column and the difference, in amount and in percentage.
- Switch off Hide zero balances if you want to see every account.
The statement is recalculated each time you change something. A badge tells you where the figures come from: Live figures, or, on the balance sheet, Snapshot as of close — this statement will not change when the date is the closing date of a closed period. Export CSV downloads the rows on screen as a spreadsheet file; it is the only export of this screen.

Click any account row. A panel opens with the movements of that account in the dates of the selected period: date, entry, debit, credit and running balance, with the opening and the closing balance in the heading. Click the entry number to open the journal entry. If the panel says No movements in this range, the balance comes from earlier periods: choose another period.
What each statement includes
Qué incluye cada estado
| Statement | What it shows |
|---|---|
| Trial balance | One row per account with its balance at the date, in the Debit column or in the Credit column, and a total row. It shows balances only: no opening balance and no movement of the period. |
| Balance sheet | Assets with their total; liabilities with their total; equity accounts, then the row Current result (revenue − expenses), total equity and total liabilities and equity. The current result is what revenue and expense accounts hold that has not yet been moved to retained earnings by a year-end close. A badge confirms Assets = Liabilities + Equity; if it shows the not equal sign, look at the control row at the bottom and tell your administrator. |
| Income statement | Revenue accounts with their total, expense accounts with their total, and Net income. It shows the movement of the period or of the year to date, leaving year-end closing entries out. It has no intermediate subtotals such as gross profit. |
| Cash flow | Indirect method, worked out from the movements of the ledger: net income plus the changes in the other accounts, split into operating, investing (fixed asset accounts) and financing (long-term liabilities and equity accounts), down to the net change in cash. A final row compares it with the real change in cash and bank accounts and shows any difference. |
| Estado | Qué muestra |
|---|---|

Report Definitions, Report Instances, Scheduled Reports and Consolidation are on the menu, but they do not produce usable reports yet: a saved definition is not used to build a report, scheduled reports are not run or sent, and consolidated reports are not generated. Use Standard Statements. Reconciliation, in the General Ledger menu, is only a list of the accounts marked as reconcilable with their balance; bank reconciliation is done in Banking.
Common issues
Problemas habituales
- "Nothing posted for this selection"
- No posted entry falls in that period, or every account has a zero balance and Hide zero balances is on.
- "The statement could not be computed."
- Reload the page. If it repeats, tell your administrator.
- An entry I typed is not in the report
- It is still a draft. Post it.
- The balance sheet of last month changed
- The period is still open or was reopened, and something was booked with a date in it. Close the period to freeze it: see Closing a period.
- With Year to date, "Previous period" compares with last year
- That is how the comparison works for the year-to-date range: it takes the same range one year earlier.
- The cash flow shows an unexplained difference
- The last rows compare the calculated change with the real change in cash and bank accounts. A difference usually comes from an account whose type does not match what it is used for; check the type of the accounts involved.
