Cost of goods sold and cost accounting
Costo de ventas y contabilidad de costos
Every sale that reaches the ledger also books what the goods cost. This chapter explains how that cost is worked out, where to see it and what to do when a cost entry could not be booked.
How the cost of a sale is booked
When a sales invoice is posted to the ledger, and when a point-of-sale cash session is posted, the system queues a cost posting for it and tries to book it straight away. The entry debits the cost of goods sold account and credits the inventory account, for the cost of the products sold; services are left out. If the invoice is voided or the session is reversed, the cost entry is reversed too.
The cost of each product is taken in this order:
- From the cost layers of the product, the lots of stock with their unit cost, in the order set by the valuation method.
- If the layers do not cover the whole quantity, the rest is estimated with the average cost of the layers of the product or, failing that, with its standard cost. The posting is then marked as estimated.
- If there is neither a layer nor a standard cost, the posting fails and waits for you.

|---|---|
| Pendiente | En cola y todavía sin asentar. |
A posting that failed does not clear by itself in a dependable way: once you have fixed the cause, choose Retry now on the row and check that it changes to Posted. This action is reserved for the accounting manager and the company administrator.
Standard costs
Costos estándar
A standard cost is the unit cost you expect for a product. It is what the system uses to estimate the cost of a sale when there is no cost layer, and it also feeds the margin figures in pricing. Open Standard Costs.
Entrá a Costos Estándar.
- Press New Standard Cost.
- Search and choose the product.
- Type the Standard Unit Cost, choose the Currency and set Effective From.
- Fill in the breakdown if you want: Material Cost, Labor Cost and Overhead Cost. The screen adds them up and tells you whether the sum matches the unit cost; Use as unit cost copies the sum into the unit cost.
- Press Create. If the product already had a standard cost in force, it is closed on the day before the new one starts.
In the menu of a row, Approve marks the cost as approved, and from then on it cannot be edited: to change it choose Revise price (new version), which creates a new version from the date you set. A cost that is still Pending can be corrected with Edit. The system uses the cost in force whether it is approved or not.
Valuation method and accounts
Método de valuación y cuentas
Configuration holds the Valuation Method of the whole company, which decides in what order the cost layers are consumed:
| Option | How the cost is taken |
|---|---|
| FIFO (First In, First Out) | From the oldest layer to the newest. |
| LIFO (Last In, First Out) | From the newest layer to the oldest. |
| Weighted Average | At the average cost of the layers that still have stock. |
| Opción | Cómo se toma el costo |
|---|---|
| FIFO (First In, First Out) | De la capa más antigua a la más nueva. |
| LIFO (Last In, First Out) | De la capa más nueva a la más antigua. |
Change the method and press Save Configuration; the button is enabled only after you change something. Open the screen and save the method once even if the one shown is the one you want, so that it is the one actually applied. The other options of the screen (COGS Recognition Trigger, Allow Negative Inventory, Retroactive Cost Adjustment and the method Specific Identification) do not change how costs are booked today.
Inventory Mappings says which accounts a product uses. Press New Mapping, search the product, choose its accounts and Effective From, and press Create. For the cost of sales the system reads the Inventory Account and the COGS Account of the mapping of the product; a product without a mapping uses the default accounts of the company. Always choose a product: a mapping by category alone is saved but not used.
The other screens of the menu
Las otras pantallas del menú
- Cost Layers lists the lots of stock with their unit cost, original quantity and remaining quantity. Open one to see which sales consumed it. It is a query screen: nothing is entered here.
- Landed Costs, Revaluations and Variances are on the menu but cannot be used yet: new landed costs and revaluations cannot be entered from the screen, and no variances are calculated.
