Receivables, payables and banking at a glance
El recorrido de cobrar, pagar y bancos
This part of Accounting holds what customers owe you, what you owe suppliers and what the bank says. This chapter shows which documents arrive by themselves from other modules, which ones you type, and the two rules that apply to every posting.
What arrives by itself and what you type
Qué llega solo y qué cargás vos
Accounting does not start from zero: part of its documents are raised by other modules. Knowing which ones tells you where to look when something is missing.
| What happens | What appears in Accounting | What is left for you |
|---|---|---|
| A sales order is shipped | A customer invoice in Draft, with the customer name, the shipped quantities and the prices of the order. By default there is one invoice per order, when the whole order has been shipped; a company can be set to get one invoice per shipment. | Review it, send it, post it to the ledger and record its collection. See After saving. |
| A sales return is completed | A credit memo in Draft for the refunded amount, only if the company turned that option on in its sales policies. It is off by default. | Add nothing, but send it, post it and apply it. See Credit and debit memos. |
| A till is closed at the POS | Nothing by itself, unless the company turned on automatic posting. The closed session waits in Retail Cash Sessions. | Post each closed session. See How POS sales arrive. |
| Goods are received against a purchase order | A ledger entry for the goods received and not yet invoiced. No supplier invoice is created. | Type the supplier invoice when it arrives. See Entering a supplier invoice. |
| A supplier sends an invoice | Nothing. | You type it. |
| A customer pays, or you pay a supplier | Nothing. | You record it. See Collections and ageing. |
| The bank moves money | Nothing. | You import the statement or type the lines. See Importing a bank statement. |
| Qué pasa | Qué aparece en Contabilidad | Qué te queda a vos |
|---|---|---|
| El banco mueve plata | Nada. | Importás el extracto o cargás las líneas. Mirá Importar un extracto bancario. |

Clicking the name of a section opens its home page, with the same screens as cards. Purchase orders, goods receipts and requisitions are not here: they live in Purchasing, and old links to them under Accounting take you there.
Who can do what
Quién puede hacer qué
| Role | What it can do here |
|---|---|
| Accounting Manager | Everything in this section: create, send, post, void, approve, reconcile and change the retail account mapping. |
| Tenant Administrator | The same as the Accounting Manager. |
| Accounting Viewer | Open every list, document and report. It cannot create, post or change anything. |
| Rol | Qué puede hacer acá |
|---|---|
| Tenant Administrator | Lo mismo que el Accounting Manager. |
| Accounting Viewer | Abrir todas las listas, documentos e informes. No puede crear, registrar ni cambiar nada. |
The screens show the same buttons to everybody. If your role does not allow an action, you find out when you press the button: the system answers Action not allowed.
Two rules for every posting
- Two people. Whoever created an invoice or a memo cannot be the one who posts it to the ledger, and whoever typed a supplier invoice cannot be the one who approves it. A company can be set to let one person do both; that setting has no screen, so ask whoever administers your installation.
- An open period. A document is posted on its own date. If the fiscal period of that date is closed or locked, or does not exist, the posting is refused.
Common issues
Problemas habituales
- "You don’t have permission to perform this action."
- Either your role does not allow the action, or you are trying to post or approve a document you created yourself. The message is the same in both cases. Ask a colleague with the Accounting Manager role to do that step.
- "Fiscal period '…' is closed. No postings allowed."
- The date of the document falls in a closed period. The date of a saved document cannot be changed: the period has to be reopened, or the document voided and created again with a date in an open period.
- "No fiscal period found for date …"
- There is no fiscal period for that date. Whoever looks after the ledger has to create the fiscal year and its periods.
- A screen sends me to the dashboard
- Payables and Banking are not part of your edition, or your company has that part of Accounting switched off.
- «Fiscal period '…' is closed. No postings allowed.»
- «No fiscal period found for date …»
