Importing a bank statement
Importar un extracto bancario
The lines of the bank reach the system in two ways: you import the statement file or you type them. Nothing else creates them: neither collections nor payments nor the POS add lines to a bank account.
Formats
Formatos
| Format | What you need |
|---|---|
| CAMT.053, MT940, OFX | Nothing: the system recognises the file by its content. Files with the extension .qfx are read as OFX. |
| CSV | A column mapping for that bank, which tells the system in which column each piece of data is. You create it once and reuse it. |
| Formato | Qué necesitás |
|---|---|
The file can be up to 10 MB. Money that comes in is a positive amount and money that goes out is a negative amount.
Create a CSV mapping
Crear un mapeo de CSV
In Statement Import, open the CSV Mappings tab and press New Mapping, or press New mapping inside the import itself.
- Name it in Mapping Name, after the bank and the account. The name has to be unique.
- Choose Delimiter and Encoding, and in Skip Header Rows how many title rows the file has before the data.
- Say where each column is. Columns are counted from zero: the first column of the file is 0, the second is 1. Fill in Date Column, Description Column and Amount Column, and choose the Date Format exactly as the file writes dates.
- If the bank uses two columns, one for money out and one for money in, fill in both Debit Column and Credit Column: the system then takes money in minus money out and ignores the amount column. If the bank uses one signed column, leave those two empty.
- Fill in Reference Column if the file has a reference or operation number. It is what lets the system recognise a line it already imported.
- Press Create.
Import the statement
Importar el extracto
- Open Statement Import, choose the account in Bank Account and press Import Statement.
- Upload. Check the account and drop the file in the box, or click to choose it. Press Next.
- Format & mapping. Leave Detect automatically, or choose the format. For a CSV file choose the mapping in CSV column mapping. Press Preview.
- Preview. Read the cards: Statement period, Lines to import, Duplicates skipped and Credits / debits. Each line of the table says New or Duplicate. Compare the period and the totals with the paper statement.
- Press Import … lines. The last step confirms how many lines came in. From there, Reconcile takes you to the reconciliation of the account.
How duplicates are avoided
Cómo se evitan los duplicados
- The same file twice. If you upload exactly the same file for the same account, nothing is added and the preview says so.
- The same line in two files. In CAMT.053, MT940 and OFX each line carries an identifier of the bank; a line whose identifier is already on the account is skipped. In CSV, a line is skipped when another one with the same date, amount and reference exists.
- CSV without a reference column. The lines cannot be recognised. If you import two files whose dates overlap, the repeated lines come in twice.
The Transactions screen
La pantalla Transacciones
Transactions lists the lines of one bank account: choose it in Bank Account. You can search by reference, description or payee, filter by date, and see only the lines that are Unmatched, Matched or Excluded.

To type a line by hand, press New Transaction and fill in Date, Description, Amount and, if you have them, Reference and Payee/Payer. A line typed by hand cannot be edited or deleted.
Common issues
Problemas habituales
- "The file is larger than 10 MB."
- Ask the bank for a shorter period, or split the file.
- "A CSV mapping template is required to import a CSV statement"
- Choose a mapping in the second step, or create it with New mapping.
- "… segments could not be read. Fix the file or the mapping before importing."
- Some rows could not be understood, and the import is all or nothing. The table Segments that could not be read says which row and why. For a CSV the usual causes are a date format that is not the one of the file, or a wrong column number.
- "Empty date" or "Empty amount" on the first rows
- The file has more title rows than the mapping skips. Create a mapping with the right number in Skip Header Rows.
- "Column … is missing (row has … columns)"
- The mapping points to a column the file does not have, or the delimiter is not the one of the file.
- "This exact file was already imported. Importing again adds nothing."
- You already imported this file for this account. There is nothing to do.
- "Could not detect the statement format"
- Choose the format by hand in File format.
- The Import button is greyed out
- There is a row that could not be read, or every line is a duplicate.
- All the amounts came in with the wrong sign
- The lines cannot be deleted. Exclude them in a reconciliation, create a mapping that reads the amounts correctly and import again.
- «A CSV mapping template is required to import a CSV statement»
- «Column … is missing (row has … columns)»
- «Could not detect the statement format»
