Informes: utilización, margen y pronóstico

Five reports summarise a period: how busy each person was, what each project earned and cost, which approved hours are still to be billed, and what the planned work will cost. All of them are run the same way.

Run a report

Ejecutar un informe

  1. Open the report from the Reports section of the menu.
  2. Set Period Start and Period End. The button stays disabled until both dates are set.
  3. Press Run Report. The summary appears in cards at the top and the detail in a table below.
ℹ️
The cards and the column headings show the technical name of each figure in English (for example capacityHours), in both languages. The tables of this chapter tell you what each one means. People and projects appear with their internal identifier; the project reports also show the project name.

Utilization: capacity and how busy each person was

Utilización: capacidad y cuán ocupada estuvo cada persona

One row per resource. The report counts every time entry dated in the period, in any status.

ColumnMeaning
roleThe role of the person.
capacityHoursThe hours a person could have worked in the period. It is the same for everyone: the days of the period, taking five out of every seven as working days, at eight hours each. A period of twenty-eight days gives one hundred and sixty hours.
totalHoursHours recorded by the person in the period.
billableHoursThe part of those hours marked as billable.
utilizationPctTotal hours as a percentage of the capacity.
billableUtilizationPctBillable hours as a percentage of the capacity.

The summary shows the average utilisation (avgUtilizationPct) and the number of people (totalResources).

⚠️
The capacity does not look at the person. It ignores the weekly availability of each resource, the work calendar, the holidays and whether the period starts on a weekend. For a part-time person the percentage will look low. For a fair comparison, run the report for whole weeks.

Leakage: approved hours still to be billed

One row per project that has billable time in the period.

ColumnMeaning
approvedHoursBillable hours whose entry is approved or locked.
billedHoursBillable hours whose entry is locked.
leakedHoursBillable hours that are approved but not locked: time accepted and not yet closed for billing.
leakagePctLeaked hours as a percentage of the approved hours.
leakedValueThe value of the leaked hours at the rate of each entry.

Since no screen locks an entry today, read leakedHours as the approved billable hours of each project in the period. It is the practical list of what there is to bill.

Margin and Realization

Margen y Realización

ReportWhat it calculates
MarginPer project: revenue (billable hours at the rate of each entry), cost (hours at the cost rate of each entry, plus the expenses dated in the period, in any status), margin (revenue less cost) and marginPct.
RealizationPer project: billablePotential (approved billable hours at the rate of each entry), invoicedAmount (the total of the work packages already invoiced) and realizationPct.
ℹ️
These two reports depend on a rate on each time entry. Time logged from these screens does not carry one, so for that time the revenue, the cost of the hours, the billable potential and the leaked value show zero. In Margin you will see the expenses of the period as the cost of each project.

Forecast: what the planned work will cost

One row per allocation that falls in the period, with the project and the person.

ColumnMeaning
allocatedHoursThe Total Hours of the allocation.
forecastedCostThose hours multiplied by the Cost Rate of the person.
forecastedRevenueAn estimate: the forecast cost plus one half. It does not come from a rate card.

The report takes the whole Total Hours of each allocation, even when only part of it falls inside the period, and it does not convert currencies: if your people have cost rates in different currencies, the totals mix them.

Common issues

Problemas habituales

"Start date must be before end date"
The start of the period is later than the end. Correct the dates and run the report again.
"Failed to run report"
The report could not be calculated. Check the network; if it repeats, your role may not include the reports.
"No data for the selected period"
There is nothing to show: no resources for Utilization, no billable time for Leakage, no allocations for Forecast. Widen the period.
The Run Report button is greyed out
Set both dates.
Margin and Realization show zeros
They need a rate on each time entry, which time logged from the screens does not have. See the note above.
A person shows more than one hundred percent
The person recorded more hours than the standard capacity of the period. Entries in every status count, drafts included. Review the entries in Time Entries.
What is the line "Executed in … ms"?
The time the system took to calculate the report. You can ignore it.
