How tax is decided on a document
On a sales invoice the tax of each line comes from the tax code you pick on the line, unless a tax rule or an exemption decides otherwise. On a supplier bill it always comes from the percentage on the line. This chapter gives the exact order and the calculation.
On a sales invoice
En una factura de venta
Each line of the invoice has a Tax column. The list shows the active tax codes meant for sales, as code · rate, with the highest rate first, plus No tax. Choosing a code puts its rate on the line.
When you save, the system decides the tax of each line in this order and keeps the answer on the line:
- Exemption. If the customer has an exemption certificate in Active status that has not expired on the invoice date, the line is exempt: rate zero, tax zero, code EXEMPT. A certificate that lists product classes exempts only products of those classes.
- Tax rule. Otherwise the system looks for the first active rule that fits the line, in order of Priority (the lowest number first). The rule replaces the code and the rate you chose.
- The line's own rate. If no rule fits, the line keeps the code and the percentage you chose. This is what happens in a company with no tax rules.
When a rule fits a line
Cuándo una regla encaja con una línea
A rule fits when all of these are true. An empty condition on the rule means any.
- The rule is active and its type is SALES.
- The invoice date is between Effective From and Effective To.
- Ship To Jurisdiction is empty, or it is your company's only active top-level jurisdiction. The system treats every sale as domestic: it does not look at the customer's address.
- Product Tax Class is empty, or it is exactly the class the product has in Product Mappings on the invoice date.
- The customer type on the rule, if it has one, is the type of the customer's account.
The calculation
El cálculo
| Case | How the tax is calculated |
|---|---|
| Taxable base | Quantity by unit price, less the discount of the line. Prices are entered without tax; the tax is added on top. |
| One tax code | Base multiplied by the rate of the code and divided by one hundred, rounded to two decimals (a half rounds up). |
| A tax group | Each line of the group is calculated on the base and the results are added. A group line marked Compound is calculated on the base plus the tax of the compound lines before it. The total is rounded to two decimals. |
| Exempt | Zero. |
| Caso | Cómo se calcula el impuesto |
|---|---|
| Exenta | Cero. |
Tax is calculated line by line and the invoice total is the sum of the lines. Example: a line of 3 units at 100 with a discount of 20 has a base of 280; with a rate of 21 the tax is 58.80.
What happens at posting
Qué pasa al contabilizar
When the invoice is posted, the system decides the tax again and compares it with what the draft shows. If a rule or a certificate changed in between and a line would now carry a different tax, the invoice is not posted: open it, save the lines again so they take the current rules, check the new total and post. An invoice whose fiscal voucher was already issued is not checked again, because the voucher is what counts.
On a supplier bill
En una factura de proveedor
Tax rules and exemption certificates are not used on purchases. Each line of a supplier bill carries its own tax percentage, and the tax of the line is quantity by unit price, less the discount, multiplied by that percentage and divided by one hundred. The tax of the bill is the sum of its lines. If the supplier is assigned to a withholding, the amount withheld is taken from what remains to be paid: see Withholdings.
Common issues
Problemas habituales
- The rate I need is not in the Tax list of the invoice
- The list shows only active tax codes marked for sales or for both. There is no screen to add a code today: ask whoever set up your company to load it.
- I chose a code and after saving the line shows another rate
- A tax rule fits that line and replaced your choice. Review the rules in Accounting → Tax → Tax Rules: the one with the lowest priority number that fits is the one applied.
- The line was saved with zero tax and code EXEMPT
- The customer has an active exemption certificate that covers that product. Check it in Accounting → Tax → Exemption Certs.
- The invoice will not post because the tax changed
- A rule or a certificate changed after you prepared the draft. Open the invoice, save its lines again, check the total and post.
