Uploading and organising files

Subir y organizar archivos

You upload files into the folder you have open, and you keep them tidy with folders, names and by dragging them where they belong.

👤 Who: Any user with access to Files📍 Where: Files → My Drive · Shared Drive
👤 Quién: Cualquier usuario con acceso a Archivos📍 Dónde: Archivos → Mi unidad · Unidad compartida

Upload files

Subir archivos

  1. Open the folder where the files have to go. Use My Drive for your own things and Shared Drive for what the whole company needs.
  2. Press Upload, or New and then Upload file. Choose one or several files.
  3. Wait for the bar under the top of the screen to finish. The message File uploaded appears, or the number of files uploaded.

You can also drag files from your computer and drop them anywhere on the screen: the notice Drop files to upload appears and they go to the folder you have open.

⚠️
A file with the same name becomes a new version. If the folder already has a file with exactly that name, the upload does not create a second file: it replaces the one you see and keeps the earlier one as a previous version. See Versions.

What you can upload

Qué se puede subir

Create a folder

Crear una carpeta

  1. Open the place where the folder has to be.
  2. Press New and then New folder.
  3. Type the name in Folder name and press Create. The message says the folder was created and it also appears in the left panel.

Rename

Renombrar

  1. Open the three dots of the file or folder and choose Rename.
  2. Change the text in Name and press Rename. For a file, keep the extension at the end of the name.

Move a file or a folder

Mover un archivo o una carpeta

Drag the row and drop it on the folder where it has to go, either in the list or in the left panel. The folder lights up when you can drop there, and the message Moved successfully confirms it.

⚠️
Renaming or moving a file hides its earlier versions. The history is kept by name and folder, so after the change only the current version is listed. If you need the old versions, download them before renaming or moving.

Common issues

Problemas habituales

"Some files failed to upload"
At least one file of the group was rejected; the others may have gone up. Look at the list to see which ones are there. The usual causes are a file above the size limit, a name without extension, or a connection cut.
The New and Upload buttons are greyed out
You are in Trash, or at the top of Shared with me. Open a folder where you can write.
"Failed to create folder"
The folder could not be created. Check your connection and try again; if it repeats, your role may not allow creating folders.
"Failed to rename" · "Failed to move"
The file is not yours and nobody gave you access to change it, or it is a file the system manages. Ask the person who uploaded it.
"Cannot move folder into its own descendant"
You tried to put a folder inside one of the folders it contains. Choose another destination.
I uploaded a file and the one that was there disappeared
It had the same name, so it became the previous version. Click the file and look at Version history.
«Cannot move folder into its own descendant»
