Some files reach Files without anybody uploading them: other modules of Kubrik OS save their documents here. This chapter tells you where to look for them and what not to touch.

Algunos archivos llegan a Archivos sin que nadie los suba: otros módulos de Kubrik OS guardan acá sus documentos. Este capítulo te dice dónde buscarlos y qué no tocar.

Where each module leaves its files

Dónde deja sus archivos cada módulo

PDF of an invoice	Shared Drive, folder Invoice PDFs, with the name INV- followed by the invoice number.	When someone presses Generate PDF on the invoice in Accounting. Pressing it again saves a new version of the same file.
Product images and their reduced copies	System Shares, folder PMS, in Product Assets and Image Formats.	When an image is loaded on a product. The reduced copies are made by the system.

The invoice PDFs are in Shared Drive, so everybody with access to Files can open them. Keep that in mind when you decide who gets access to the Files module.Los PDF de facturas están en Unidad compartida, así que los puede abrir cualquiera que tenga acceso a Archivos. Tenelo en cuenta cuando decidas quién accede al módulo Archivos.

System Shares: look, do not change

System Shares is shown only to administrators. It is the storeroom of the files that other screens use, so manage those files from the screen they belong to: change a product image from the product, not from here.

Compartido del sistema se muestra solo a los administradores. Es el depósito de los archivos que usan otras pantallas, así que manejá esos archivos desde la pantalla a la que pertenecen: cambiá la imagen de un producto desde el producto, no desde acá.

Files and folders of this space cannot be sent to the trash from Files.
Do not rename or move what is here: the screens that use those files expect to find them where they are.
The search box does not look inside this space. Open its folders to find a file.

Los archivos y carpetas de este espacio no se pueden mandar a la papelera desde Archivos.
No renombres ni muevas lo que hay acá: las pantallas que usan esos archivos esperan encontrarlos donde están.

Attaching a file to a record

Adjuntar un archivo a un registro

Files has no button to attach one of its files to a customer, an order or another record of the system. When a module accepts attachments, they are loaded from the screen of that record, not from here.

Archivos no tiene un botón para adjuntar uno de sus archivos a un cliente, un pedido u otro registro del sistema. Cuando un módulo acepta adjuntos, se cargan desde la pantalla de ese registro, no desde acá.

Enlaces de módulo

The three dots of a folder offer Module links, where a folder is tied to a module with an action. It is a setup meant for automations, not for everyday work, and its Attach as Document actions do not do anything yet. Leave it as it is unless your implementation team tells you otherwise.

Los tres puntos de una carpeta ofrecen Enlaces de módulo, donde una carpeta se asocia a un módulo con una acción. Es una configuración pensada para automatizaciones, no para el trabajo de todos los días, y sus acciones Attach as Document todavía no hacen nada. Dejalo como está salvo que tu equipo de implementación te indique otra cosa.

Common issues

Problemas habituales

"PDF saved to Documents" appeared on an invoice: where is the file?: In Files → Shared Drive, inside the folder Invoice PDFs. On the invoice itself, View PDF opens it directly.
"Failed to load System Shares": Your user is not an administrator, or the space could not be read. Only administrators can open it.
"Failed to move to trash" on a product image: Files of System Shares are not deleted from here. Remove the image from the product.
"Failed to load module links": Your role does not allow seeing the links of a folder. It is available to Files Manager and to administrators.

Apareció «PDF guardado en Documentos» en una factura: ¿dónde está el archivo?: En Archivos → Unidad compartida, dentro de la carpeta Invoice PDFs. En la misma factura, Ver PDF lo abre directamente.
«Error al cargar Compartido del sistema»: Tu usuario no es administrador, o no se pudo leer el espacio. Solo los administradores lo pueden abrir.
«Error al mover a la papelera» en una imagen de producto: Los archivos de Compartido del sistema no se eliminan desde acá. Quitá la imagen desde el producto.
«No se pudieron cargar los enlaces del módulo»: Tu rol no permite ver los enlaces de una carpeta. Está disponible para Files Manager y para los administradores.
