Writing the mandate

Escribir el mandato

The mandate is the written answer to "what is this agent allowed to do". It lists the actions the agent may use and, for each, whether it runs unattended, needs a person, or is refused.

How a mandate decides

Cómo decide un mandato

Every time the agent wants to use an action, the mandate is asked. The checks go in this order, and the first one that applies decides.

  1. The agent must be active. If not, the action is refused.
  2. Denied tools win. An action on the deny list is refused, whatever else says.
  3. Allowed tools are the only ones. An action that is not on the allow list is refused. An empty allow list allows nothing.
  4. The first approval rule that matches decides: AUTO, CONFIRM or DENY.
  5. If no rule matches, the default action applies.
  1. El agente tiene que estar activo. Si no, la acción se rechaza.
OutcomeWhat happens
AUTOThe agent does it, with nobody watching.
CONFIRMThe agent leaves a proposal. A person with the role you named has to approve it.
DENYThe action is refused and the agent is told so.

Write a draft

Escribir un borrador

  1. Open the Mandate tab and go to Editor. To start from an existing version, use Load into the editor in its menu.
  2. Fill Allowed tools. Type the name of an action, or a family ending in an asterisk, such as pur_create_. The names are the ones listed in Platform → Tools*.
  3. Fill Denied tools with what the agent must never use.
  4. Fill May delegate to with the codes of the agents this one may hand work to, if any.
  5. Choose the Default action: CONFIRM or DENY. It cannot be AUTO.
  6. Choose the Role that confirms by default. It has to be a role that exists in your organisation.
  7. Set the Daily cap on unattended actions. Zero means no cap, so type a number.
  8. Add the approval rules (next heading).
  9. Press Save as new draft. The notice says "Saved as draft v…". Saving always creates a new version; existing versions are never changed.

Add an approval rule

Agregar una regla de aprobación

Press Add rule. A rule has a condition and an outcome. Rules are read from top to bottom, so put the most specific first; use Move up and Move down to order them.

FieldWhat to put
ScopeRequired. One action, or a family ending in an asterisk.
Amount from / Amount up toOptional. The rule applies when the amount of the action is in that band: from the first value, up to but not including the second. An action whose amount is unknown never matches a band.
CurrencyThe currency of the band. Empty means your organisation's base currency; amounts in another currency are converted.
Entity typeOptional. Limits the rule to one kind of record.
Dimension and ValueOptional, and both together.
From / ToOptional time window, both together. It is read in your organisation's time zone and can cross midnight.
OutcomeAUTO, CONFIRM or DENY.
Role that confirmsRequired for CONFIRM. Only somebody holding this role can approve.
ReasonRequired by the screen for DENY.
CampoQué poner
AlcanceObligatorio.
ResultadoAUTO, CONFIRMAR o DENEGAR.
Rol que confirmaObligatorio para CONFIRMAR. Solo quien tenga este rol puede aprobar.
MotivoLa pantalla lo pide para DENEGAR.

Press Save rule, and then Save as new draft to keep the mandate.

Try it in the simulator

Probarlo en el simulador

The Simulator answers "what would the mandate say to this call". Type the Tool, choose its Risk tag as shown in Platform → Tools, and optionally an Amount and a Time of day. Tick As a background run, with nobody to ask to test a scheduled run. Press Simulate: it shows the outcome, the rule that decided and Why.

ℹ️
The simulator tests the mandate that is active, not the draft in the editor. And it trusts the risk tag you choose: with the wrong tag the answer is wrong.

Activate a version

Activar una versión

A draft does nothing until it is activated. Only one version is in force at a time; the previous one becomes Superseded and is kept.

  1. In Versions, open the menu of the draft and choose Activate….
  2. Read what it replaces and the list of rules that act unattended.
  3. Tick the acknowledgement if the version has AUTO rules: you accept that the agent will carry them out with nobody watching.
  4. Press Activate. The notice says "Mandate v… is in force."
⚠️
A version with AUTO rules needs two people. Whoever wrote it cannot activate it: another person, with the permission to activate mandates, has to. A version without AUTO rules can be activated by its author.
ℹ️
Activating a mandate does not start a draft agent. After the first activation, press Resume on the agent.
