What Kubrik records about the use of Copilot, who can read it, what is sent to the AI provider, and how to turn everything off in an emergency.

What is recorded

Qué queda registrado

Record	What it holds
Conversations	Every message a person wrote and every answer, with the model that answered and the amount of text processed.
Queries and actions	Each one Copilot used: its name, the data it was called with, the result it returned, whether it succeeded and how long it took.
Proposals	Each proposed change with its data, its status, who confirmed or rejected it and when. For a proposal of an agent, also the mandate version and the rule that decided.
Changes made by agents	Every change an agent makes, or tries and fails to make, is written to the platform's audit log: the agent, the action, the record, the rule that allowed it, and the person who approved it if there was one. Readings are not written there.
Runs and briefings	What each run did and produced, and to whom each briefing was delivered and whether it was opened.
Usage	One row per request to the AI model, with its cost.
Memory	Each statement with where it came from, who accepted it and who retracted it and why.

Corridas y briefings	Qué hizo y qué produjo cada corrida, y a quién se entregó cada briefing y si lo abrió.
Uso	Una fila por cada pedido al modelo de IA, con su costo.
Memoria	Cada declaración con de dónde salió, quién la aceptó y quién la retiró y por qué.

A change a person confirms in the chat is recorded as a proposal with who confirmed it. Beyond that, it leaves whatever trace that kind of change always leaves in its own module.
Granting and revoking access on the Access screen shows who granted and when while the grant exists. Revoking removes the grant and that information with it.
Nothing is deleted automatically. Conversations, queries, proposals and usage stay. Only runs and their briefings can be deleted after thirteen months, if your installation turned that on; memory statements expire but are kept.
There is no screen to delete a conversation.

Un cambio que una persona confirma en el chat queda registrado como una propuesta con quién la confirmó. Más allá de eso, deja el rastro que ese tipo de cambio deja siempre en su propio módulo.
Otorgar y revocar acceso en la pantalla Acceso muestra quién otorgó y cuándo mientras el otorgamiento existe. Revocar elimina el otorgamiento y esa información con él.
Nada se borra automáticamente. Las conversaciones, las consultas, las propuestas y el uso se conservan. Solo las corridas y sus briefings se pueden borrar a los trece meses, si tu instalación lo encendió; las declaraciones de memoria vencen pero se conservan.
No hay una pantalla para borrar una conversación.

Who can read it

What is sent to the AI provider

To produce an answer, Kubrik sends a request to the AI provider. Each request carries:

Copilot's working instructions: the module, the level and the rules it must follow. They do not include the name of your organisation or of the user.
The list of queries and actions available to that conversation, with their descriptions.
The message the person wrote.
The earlier messages of the conversation, up to the last sixty, including earlier queries and their results.
The results of the queries Copilot runs: that is, the data of your organisation that it looked up. Customer names, amounts, stock, whatever the query returns.
The live memory statements that apply.

Nothing is masked before it is sent. If a query returns personal data, that data goes to the provider as part of the request. The only filter is on memory statements, where e-mail addresses, long numbers and identity numbers are removed before saving. Decide who gets Copilot, and on which modules, with this in mind, and check what your contract with the provider says about how it treats the data it receives.Nada se enmascara antes de enviarse. Kubrik asks the provider to keep the fixed part of a request ready for a few minutes, so that the next message of the same conversation is cheaper and faster. This is a feature of the provider's service.

Protections that are always on

A change needs a person, except the low-risk actions of the autonomous level and what a mandate explicitly allows an agent to do unattended.
A person's proposal can be decided only by that person.
An agent's proposal needs three things from the approver: the role the mandate names, the permission to approve agent proposals, and not being the person the agent worked for.
Some actions never run unattended, whatever a mandate says: accounting postings, payments, voiding invoices, anything hard to undo, and any action of several steps.
Text found in your data is treated as data. Copilot is instructed not to follow instructions that appear inside a record and to mention them to the user.
An agent acts with its own permissions, not with those of whoever approves its proposal.

Un cambio necesita a una persona, salvo las acciones de bajo riesgo del nivel autónomo y lo que un mandato le permite explícitamente a un agente hacer sin supervisión.
La propuesta de una persona la puede decidir solo esa persona.
La propuesta de un agente le exige tres cosas a quien aprueba: el rol que nombra el mandato, el permiso para aprobar propuestas de agentes, y no ser la persona para la que trabajó el agente.
Algunas acciones nunca se ejecutan sin supervisión, diga lo que diga un mandato: los asientos contables, los pagos, anular facturas, todo lo difícil de deshacer, y toda acción de varios pasos.
Un texto encontrado en tus datos se trata como dato. Copilot tiene la instrucción de no seguir instrucciones que aparezcan dentro de un registro y de mencionárselas al usuario.
Un agente actúa con sus propios permisos, no con los de quien aprueba su propuesta.

Stop one person	Revoke their grant on Access, or take the Copilot permission out of their role. Ask them to close the panel: an open conversation keeps its level until it ends.
Stop one agent	Pause it in Copilot → Agents.
Stop all spending now	Lower the monthly cap below what was used. Copilot refuses new messages and agent runs are skipped.
Stop Copilot for your organisation	Turn the Copilot module off for the organisation.
Stop everything, at once, for everybody	The emergency switch of the installation. It is set on the server by whoever operates it and needs a restart. While it is on, every request to Copilot is refused.

Querés	Cómo
Frenar a una persona	Revocá su otorgamiento en Acceso, o sacá el permiso de Copilot de su rol. Pedile que cierre el panel: una conversación abierta conserva su nivel hasta que termina.
Frenar a un agente	Pausalo en Copilot → Agentes.
Frenar todo el gasto ahora	Bajá el tope mensual por debajo de lo consumido. Copilot rechaza los mensajes nuevos y las corridas de agentes se saltean.

Common issues

Problemas habituales

A user asks for their conversations to be deleted: There is no screen for it. It has to be done by whoever operates the installation, directly on the stored data.
I need to know who approved a change an agent made: Open the run in Copilot → Runs: the Proposals card shows who decided each one. The platform's audit log has the same change with the rule that allowed it.
I need to know what Copilot looked up to give an answer: For an agent, the Tool calls card of the run lists every query with its data and its result. For a person's chat, the person sees the queries in their own conversation.
Copilot stopped for everyone and the screens show no reason: Check the monthly cap first. If it is not that, ask whoever operates the installation whether the emergency switch is on.

Un usuario pide que se borren sus conversaciones: No hay una pantalla para eso. Lo tiene que hacer quien opera la instalación, directamente sobre los datos guardados.
Necesito saber quién aprobó un cambio que hizo un agente: Abrí la corrida en Copilot → Corridas: la tarjeta Propuestas muestra quién decidió cada una. El registro de auditoría de la plataforma tiene el mismo cambio con la regla que lo permitió.
Necesito saber qué consultó Copilot para dar una respuesta: Para un agente, la tarjeta Llamadas a herramientas de la corrida lista cada consulta con sus datos y su resultado. Para el chat de una persona, la persona ve las consultas en su propia conversación.
Copilot dejó de funcionar para todos y las pantallas no dan motivo: Revisá primero el tope mensual. Si no es eso, preguntale a quien opera la instalación si el interruptor de emergencia está encendido.
